There are two main reasons for maintaining a good document management system. One of them is the ease of storing, sorting, searching and retrieval of data and files. Another reason is the legal obligations towards the government and to other companies, which forces us to keep records of all transactions and documentations. For gaining the trust of the customers your filing system must be quick and efficient.<br />

An efficient document management system must keep the documents for a fixed amount of time as the law enforces and must be able to destroy them after the needed period. It can be implemented in all the areas of an organization and should be able to work efficiently in all areas. It should maintain privacy of all the files and restrict unauthorized access. It should be cost effective and should be maintainable and repairable easily. <br />

The documentation needs of different companies will not be similar. The filing system should be made in such a way as to contain all type of documentations. Furthermore it should be easy so that the lowest level employee must be able to understand and use it. Maintaining and filing of documents using a document management system should be just as easy as putting a file in a rack.</div>
